Privacy Policy for Birdsong Business English

Privacy Policy

Last updated: September 26, 2026

This Privacy Policy explains how Birdsong Business English collects, uses, and discloses personal information when you visit our website, submit an Unscripted Moment Map, book a conversation, attend the English Café, or use our coaching services, including Birdsong Before the Room and the Birdsong Voice Cycle.

Who We Are

Birdsong Business English provides English communication coaching and related learning experiences. In this policy, “we,” “us,” and “our” refer to the operator of Birdsong Business English.

Birdsong Business English is operated by Conrad Strategies LLC, 345 Bayshore Blvd PhGP13, Tampa, FL 33606, United States. Where applicable data protection law uses that term, Conrad Strategies LLC is the controller of the personal information described in this policy.

For questions about this policy or your personal information, email [email protected].

Our website is www.birdsongbusinessenglish.com. Our Moment Map is available at map.birdsongbusinessenglish.com. This policy also covers information we handle in providing the services described above.

Information We Collect

Personal information is information that identifies you or can reasonably be linked to you. Depending on how you interact with Birdsong, we collect:

  • Contact and inquiry information: your name, email address, phone number if provided, and the content of your questions or messages.
  • Booking information: the service you select, appointment dates, time zone, scheduling preferences, and relevant intake responses.
  • Moment Map responses: the communication situation you describe, your reflections, and contact details submitted with your response.
  • Coaching information: goals, professional or academic context, examples or writing you choose to share, reflections, practice activities, coaching notes, and materials developed for your personalized toolkit.
  • Transaction information: purchases, payment status, invoices, installment arrangements, credits, cancellations, and refunds. Payment providers process the payment details entered at checkout.
  • Technical information: information processed by our website and hosting services, such as IP address, browser and device information, requested pages, access times, and security logs. Optional analytics and tracking depend on the tools and settings described below.

Please avoid including unnecessary confidential information about your employer, colleagues, clients, or other people in forms or coaching materials. Where possible, remove names and identifying details from examples.

Session Recordings and Transcripts

With your permission, coaching sessions may be recorded and transcribed using Google Meet or Microsoft Teams to support session review, summaries, coaching preparation, and the development of your personalized toolkit. Recordings may include your voice, video, shared screen content, and other contributions; transcripts contain a written record of the conversation.

We ask for your permission before recording or transcribing each session. You may decline and receive coaching without recording or transcription. We do not record or transcribe English Café sessions.

AI-Assisted Coaching Preparation and Materials

Birdsong may use paid OpenAI ChatGPT (an individual account) and Anthropic Claude (a business account) to assist with session summaries, personalized toolkit development, and coaching preparation. Depending on the task, relevant coaching notes, transcripts, goals, or materials you share may be processed by these providers to generate draft summaries or resources. This is an optional use of these tools, not a statement that every session or document is processed with AI.

Recording permission is separate from permission for any additional use of your information that requires consent. We will explain the intended use and obtain consent where required by applicable law. You can contact us to discuss questions or preferences about AI-assisted processing.

Information submitted to these AI services is also handled under the provider's applicable terms, privacy policy, and account settings. Using a paid account does not, by itself, mean information is never retained or used to improve a provider's models.

How We Use Information

  • Respond to inquiries and Moment Map submissions.
  • Arrange appointments and send service-related communications.
  • Provide coaching, English Café sessions, practice materials, and personalized toolkits.
  • Process and administer payments, installments, cancellations, and refunds.
  • Maintain appropriate business records and respond to legal obligations.
  • Protect our services, investigate technical problems, and improve their operation.
  • Send newsletters or Field Notes when you choose to subscribe, if that service is offered.

Submitting a Moment Map or booking a session is not, by itself, consent to receive a newsletter. You may stop marketing emails using the unsubscribe method provided or by contacting us. Necessary booking and service messages are separate from marketing.

Coaching, Group Conversations, and Public Stories

During an English Café group conversation, other participants can hear what you share and may see your displayed name, image, and chat contributions according to the meeting platform and your settings. Please choose what you share with that group carefully; we cannot guarantee how another participant will handle it.

Publishing an identifiable testimonial, client story, or example of a personalized toolkit requires your separate permission. Participation in coaching does not itself authorize publication of your story or materials.

Services That Help Us Operate Birdsong

We use service providers to host our website, collect forms, arrange appointments, communicate with you, process payments, and deliver coaching. They receive the information needed for their role. Some providers also handle information for their own purposes under their policies.

  • Squarespace: website hosting, website analytics, and related functionality.
  • Google Analytics: website usage measurement and analytics.
  • Acuity Scheduling: scheduling, booking administration, and appointment reminders, including SMS reminders.
  • Netlify: hosting and form handling for the Moment Map.
  • Square and PayPal: payment processing and related transaction administration.
  • Google Workspace: business email and related communications.
  • MailerLite: newsletter subscriptions, mailing-list administration, and email delivery.
  • OpenAI ChatGPT and Anthropic Claude: optional assistance with session summaries, personalized toolkit development, and coaching preparation, as described above.
  • Google Meet and Microsoft Teams: video coaching sessions, recordings, and transcription.
  • Microsoft OneDrive and Google Drive: storage of coaching notes and personalized client toolkits in private accounts controlled by Birdsong.

If you choose to contact Birdsong through WhatsApp or LinkedIn, that platform processes information under its own terms and privacy policy. We use the information you send to respond to you. Following a link to another service takes you to that service; its privacy practices may differ from ours.

Appointment Text Messages

We use Acuity Scheduling to send SMS appointment reminders to the mobile number provided for this purpose. These messages concern your appointments. Your phone number and relevant appointment details are processed to deliver the reminders. Message and data rates may apply. Contact [email protected] if you wish to stop appointment text reminders.

Other Disclosures

We may disclose relevant information to professional advisers, where required by law, or where necessary to establish or defend legal claims, address fraud, or protect safety. Any disclosure must have an appropriate legal basis.

If ownership of the business changes, relevant records may transfer as part of that transaction, subject to applicable protections and notice requirements.

Cookies, Analytics, and Similar Technologies

Our website uses Squarespace Analytics and Google Analytics to understand how visitors find and use the website and to improve it. These services may process information such as pages visited, interactions, referral sources, approximate location, and browser or device information. Cookies and similar technologies may be used for analytics as well as essential website functions.

Our cookie controls restrict optional analytics cookies until you accept them. Google Analytics loads only after you allow Performance and Analytics cookies. You can accept or decline optional cookies, choose your preferences through Manage Cookies, and change your choice later using Cookie Preferences on our website.

You can manage cookies through your browser settings. Blocking essential cookies may affect website functionality. For questions about analytics or your information, contact [email protected].

Legal Bases Where European or UK Data Protection Law Applies

Where these laws apply, the legal basis depends on the activity:

  • Contract or steps you request before a contract: arranging and delivering your coaching, administering bookings and payments, and responding to service requests.
  • Legitimate interests: responding to general inquiries, securing our services, maintaining necessary business operations, and handling disputes, where those interests are not overridden by your rights.
  • Legal obligations: required financial records and lawful requests from authorities.
  • Consent: optional activities where consent is required, including relevant marketing and non-essential tracking.

We will identify required information when collecting it. Without necessary contact, booking, or payment information, we may be unable to arrange or provide the requested service. Withdrawing consent does not affect the lawfulness of processing before withdrawal.

How Long We Keep Information

We keep personal information for as long as needed for the purpose for which it was collected, considering the ongoing service relationship, necessary follow-up, applicable recordkeeping requirements, and the handling of disputes. Different types of records need different retention periods.

  • Inquiries and Moment Map responses: the time needed to respond and manage relevant follow-up.
  • Session recordings and transcripts: retained for 12 months from the date of each session.
  • Coaching notes and personalized toolkits: stored in private OneDrive or Google Drive accounts and retained for 12 months after the coaching engagement ends. Online access to your toolkit ends after that period. You may download and keep your own copy before online access ends; deletion of our stored copy does not delete a copy you have downloaded.
  • Financial records: the period required for applicable accounting, tax, and related obligations.
  • Marketing preferences: while needed for the subscription, with a limited suppression record where necessary to respect an opt-out.
  • Technical logs and analytics: the provider settings and periods justified for security or the stated analytics purpose.

At the end of the stated retention periods, we permanently delete the recordings, transcripts, coaching notes, and toolkits held in drives under our control, including removing them from the recycle bin or trash. This is managed manually unless an appropriate automatic deletion setting is available and configured. Providers may retain separate backup or service records under their own retention processes; deleting a file from our drive does not necessarily erase those copies immediately. Information that must be preserved to meet a legal obligation or resolve a dispute may be retained for that limited purpose.

International Processing

Birdsong and its providers may process information in the United States and other countries where the providers operate. Those countries may have different data protection laws from your own.

You may contact [email protected] for information about the providers handling your information and the safeguards relevant to international processing. Any transfer subject to legal restrictions must meet the applicable requirements.

Security

We use reasonable measures appropriate to the personal information we handle to protect it against unauthorized access, loss, or misuse. No online transmission or storage system can be guaranteed completely secure.

Your Choices and Privacy Rights

You can contact us to ask about your information or request access, correction, or deletion. Depending on applicable law, you may also have rights to restrict processing, object to certain uses, obtain a portable copy, withdraw consent, or opt out of sale, targeted-advertising sharing, or certain profiling. Rights may be subject to conditions and lawful exceptions, such as required financial recordkeeping.

Email [email protected]. We may request information reasonably necessary to verify your identity or a representative's authority. We will respond within the period required by applicable law and explain any applicable refusal or extension. Where the GDPR or UK GDPR applies, the usual response period is one month, with extensions allowed in certain circumstances.

You may complain to your local data protection authority. In the UK, contact the Information Commissioner's Office. You may object to direct marketing and withdraw consent where processing relies on consent.

California and Other US State Rights

Where applicable state privacy laws cover our processing, you may have rights to know, access, correct, or delete personal information, obtain a portable copy, opt out of specified uses, and receive nondiscriminatory treatment for exercising those rights. Some laws provide an appeal right if a request is denied; contact us to request a review.

Children's Privacy

Birdsong's services are intended for adults aged 18 and over, consistent with our Terms and Conditions. We do not knowingly collect personal information from children through these services. If you believe a child has provided information, please contact us so we can investigate and take appropriate action.

Changes to This Policy

We may update this policy as our services or practices change. We will update the date above and provide additional notice or obtain consent where applicable law requires it.
